The short version. If you fill in our form, we use what you tell us to prepare and schedule your estimate, and to contact you about it. We also use advertising cookies to measure which ads bring people here.
We don't sell your information. You can ask us to delete it, or to stop using it for targeted advertising, at any time — the addresses are at the bottom of this page.
This policy applies to this website and to the forms on it, operated by Poplin Heating and Air Conditioning Inc. ("Poplin Heating and Air", "we", "us"). If you contact us another way, or visit another site of ours, a different notice may apply.
What you give us. When you fill in the form, we collect your name, phone number, email address, the address of the property, and the answers you select — the type of work, whether you own the property, your timing, and your budget range.
What is collected automatically. When you visit these pages, we and our advertising partners receive your IP address, approximate location, device and browser type, the pages you view, and how far you get through the form. This happens through cookies and similar technologies.
We do not ask for, and you should not send us, payment card numbers, government ID numbers, or health information.
If you give us your phone number and agree to be contacted, we may send you text messages about your estimate — confirmations, reminders, and a message if we need to reach you about the appointment. Message and data rates may apply. Message frequency varies.
Reply STOP to any message to stop receiving them. Reply HELP for help. Stopping text messages does not cancel your appointment, and we may still contact you by phone or email about it.
We do not share your phone number or your consent to be texted with anyone for their own marketing.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Your text messaging opt-in and your consent to receive texts are never shared with the advertising partners described below, and they do not transfer to anyone else, including if our business is sold.
We advertise on Meta (Facebook and Instagram). To do that, these pages run the Meta pixel, which tells Meta that a browser visited a page and how far it got through the form. That lets us measure which ads work and show ads to people who look like the people we already serve. We also send a small number of custom events of our own, which count how many people reach each question — they contain a step number, nothing about you.
When you send the form or book a visit, our system also tells Meta directly, through Meta's Conversions API. To match that event to the right ad, it includes a protected (hashed) copy of the contact details you gave us, such as your email address and phone number. Meta uses them to measure our ads and report results to us. This never includes your text messaging opt-in or consent.
Under some state privacy laws, advertising cookies and measurement like this count as "sharing" personal information for targeted advertising, even though no money changes hands. You can opt out:

We use service providers who process information on our behalf, under contract, and who are not allowed to use it for their own purposes:
We may also disclose information if the law requires it, or to protect our rights or someone's safety. If our business is sold, records may transfer with it, except text messaging opt-in data and consent.
Depending on where you live, you may have the right to ask us for a copy of the information we hold about you, to correct it, to delete it, to limit how we use it, and to opt out of targeted advertising. We will not treat you differently for asking.
To exercise any of these, email [email protected]. We may need to confirm who you are before we act, and we will respond within the time the law allows. If we say no, we will tell you why and how to appeal.
We keep enquiry records for as long as we may reasonably need them for the work, for warranty questions, and for our tax and legal obligations — and then we delete them. If you ask us to delete your information sooner, we will, unless we are required to keep it.
This site is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has given us information, write to us and we will delete it.
If we change this policy we will update the date at the top of this page. Material changes will be announced on this page before they take effect.
